HarborLab launches HL AI for smarter port cost management

HarborLab aims to enhance transparency, efficiency, and trust within the maritime industry, introducing HL AI, an innovative feature designed to revolutionize the management and approval of port expenses.

Traditionally, shipping companies outsourced DA management to low-cost remote operations, viewing it as a non-core function. However, with port-related spending reaching approximately US$2 million per year for a single vessel on voyage charter, leaving approvals in the hands of external parties presents significant risks.

HL AI transforms this process by automating the verification and negotiation of DA expenses, allowing teams to retain full control over approvals without increasing manual workload.

Developed with vessel operators and DA Approvers in mind, HL AI provides clear explanations for every suggested charge, ensuring that decisions regarding DA handling are both informed and efficient.

A common challenge in managing PDAs and FDAs is the lack of clarity in how charges are determined. HarborLab addresses this issue with a colour-coded system in the DA screening process—green for correct charges and red for discrepancies—highlighting whether an expense aligns with official port tariffs.

The new HL AI feature enhances this transparency further by breaking down how each charge is calculated. Users can now review the exact reasoning behind the suggested expense, ensuring accuracy and trust in the final amount.

By simply clicking “Analyze”, users receive a detailed explanation of how the expense was calculated based on the most up-to-date official port tariffs. HL AI also helps overcome language barriers by providing instant translations of tariff documents, making official port information more accessible.

Additionally, when a charge deviates from official port tariffs, an AI-powered automated email can be sent to facilitate negotiations. The AI Agent can also be trained to improve its results based on specific user needs.

Through the automation of DA expense verification and negotiation, HL AI enables shipping companies to redefine their DA management processes, ensuring greater transparency, efficiency, and control over port cost approvals.
